Role description
Our dedicated Support team is looking for a Receptionist and Office Assistant, working 40 to 60% (Wednesdays to Fridays). We are looking for bright, organised and motivated candidates, with excellent communication skills, attention to detail, and a real desire to be part of a dynamic international environment. Reporting to the Office Manager and working as part of a team, the Receptionist will be the first point of contact for our guests and clients, as well as provide administrative support across the Zurich office. This role will suit a bright student looking to gain practical experience in a demanding and stimulating environment.
Responsibilities will include:
- Welcome all visitors and answer telephone calls in German and English;
- Manage incoming and outgoing mail;
- Handling administrative and organisational tasks at the reception desk, including supporting the legal assistants’ team as required;
- Supporting with the organisation of events, which includes providing support for onsite activities, organise hotel accommodations and occasional travel arrangements;
- Managing stocks and orders for office supplies as well as IT, in collaboration with the Office Manager;
- Assisting on ad hoc reception projects as required.
Your profile
What we look for:
- You are a student at University (any faculty), in your 4th semester at least;
- You are interested in a position for at least 1-2 years;
- You have flexibility to work full days (Fridays from 8 AM to 6 PM), the other day(s) are more flexible.
- You demonstrate a high level of professionalism and have strong interpersonal as well as communication skills;
- Native or near-native German and excellent written and oral English imperative; other languages (including French) a strong asset;
- Previous experience in similar role(s), in particular law firms would be an advantage;
- Very good organisational skills, meticulous and diligent.
- A collaborative mindset and strong team spirit;
- Flexibility and a proactive attitude in a fast-paced environment.
